1. Who we are and this Policy's scope
CIRCLE SUITE LLC, 2810 N Wilson Ave, Royal Oak, MI 48073, operates Circle Suite at thecirclesuite.com. This Policy explains personal-information processing for our own business purposes, including website visitors, prospective business customers, account representatives, billing contacts, and people communicating directly with Circle Suite.
Our customers also use Circle Suite to process information about their own leads, customers, employees, or other contacts ("Customer Personal Data"). When we process that information on a customer's behalf, the customer generally determines the purposes of that processing, subject to applicable law and actual functionality, and the applicable DPA governs our role. The customer's own privacy notice explains its business use. If Circle Suite separately determines an independent purpose for information, that processing must be identified in this Policy rather than hidden within a processor description.
2. Information and purposes
No full payment-card number or CVV is requested in ordinary support correspondence or CRM notes. Payments use supported processor interfaces.
3. Disclosures and providers
We disclose information to verified service providers as needed for the disclosed service and operational purposes, subject to appropriate terms and applicable law. Provider categories may include platform infrastructure, hosting, communications, email, AI, billing, and support, but the final categories and specific identities where required must match actual use.
A service independently connected by a customer can receive data the customer authorizes the integration to transmit. That independent provider's own terms may apply. Subprocessors providing our service and independently connected customer services are not interchangeable categories.
We may disclose information where law requires, to address security or fraud, to exercise or defend legal rights, or in connection with a lawful business transfer, subject to applicable protections. These purposes do not authorize undisclosed advertising uses or unrestricted disclosure of Customer Personal Data.
4. SMS communications and mobile information
This section applies to text messages sent directly by CIRCLE SUITE LLC to prospective and current customers. Businesses that use Circle Suite software send their own messages independently, under their own terms and privacy notices, and are responsible for their own recipient consent.
Information we collect for SMS: your mobile phone number and a record of your SMS consent (including when and where it was given). SMS communications require applicable consent. When you provide your mobile number and consent to receive text messages from CIRCLE SUITE LLC, we use that number to send appointment confirmations, appointment reminders, scheduling updates, responses to your inquiries, customer support, and service-related updates consistent with your consent. Promotional SMS requires separate promotional consent. Message frequency varies based on your appointments, requests, and interactions with Circle Suite. Message and data rates may apply.
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. Mobile numbers may be processed only by the telecommunications providers and messaging service providers that deliver our messages on our behalf, solely to send those messages.
You may opt out at any time by replying STOP to any message. For help, reply HELP or contact support@thecirclesuite.com. You may also withdraw consent by emailing support@thecirclesuite.com or by any other reasonable means; replying STOP is not the only way to revoke consent. After opting out, you may rejoin by providing new consent, for example through a Circle Suite booking or inquiry form, or by contacting support@thecirclesuite.com.
Consent to receive text messages is not a condition of purchasing any Circle Suite product or service. Wireless carriers are not liable for delayed or undelivered messages.
6. Retention and deletion
Information is retained only for documented service, business, security, or legal purposes, consistent with applicable law and customer instructions where relevant. Different categories have different retention requirements. Account cancellation does not erase all billing, consent, security, or legal records, and deletion from active systems may differ from protected backup cycles.
7. Security
We maintain reasonable administrative, technical, and organizational safeguards appropriate to our processing. No transmission, storage system, or account is guaranteed absolutely secure. Customers must also secure their own credentials, users, devices, and integrations.
8. Privacy requests and contact
Contact privacy@thecirclesuite.com to request information about or exercise applicable privacy rights. Depending on the governing law and our role, rights can include access, correction, deletion, portability, and opt-out of specified processing. We respond under applicable requirements and do not discriminate unlawfully for exercising a protected right.
We may verify identity and authority proportionately where permitted and necessary to protect personal information. Opt-out requests and browser signals must not be subjected to unnecessary identity verification. An authorized representative may act where the applicable law permits, with appropriate evidence of authority.
If a request concerns information controlled by a Circle Suite customer, identify that business if known. We coordinate with the customer and follow the relevant processor obligations; we do not direct every request away without examining our actual role. Customers' use of information for their own business purposes is governed by their privacy notices.
9. Children and scope limitations
Circle Suite's own account services are intended for adults acting for businesses and are not directed to children. This does not mean customers are automatically authorized to collect information from children through hosted forms, chat, or other features. Child-directed or regulated student/minor uses require separate review. Contact privacy@thecirclesuite.com if you believe information has been collected through an unauthorized child-directed use.
10. Changes and other contacts
We update this Policy to reflect actual changes in processing and applicable requirements. The released version identifies its actual effective and last-updated dates. We provide additional notice and obtain consent where required for material changes. Older versions are retained appropriately. Legal notices: legal@thecirclesuite.com. Customer support: support@thecirclesuite.com.
