Billing, Cancellation & Refunds

How subscription payments, renewals, cancellations, the one-time onboarding fee, and refunds work.

Effective date: October 1, 2026

1. Prices, payments, and term

The plan selected at checkout controls the subscription price and billing frequency. Monthly subscriptions are prepaid one month at a time. Annual subscriptions are prepaid for twelve months. The first subscription payment is due at purchase/activation. A $500 one-time onboarding fee is charged separately at signup. Taxes and any separately authorized charges are shown as applicable. There is no current free trial.

Subscriptions automatically renew at the selected frequency unless canceled before the next renewal is processed. We disclose the amount and renewal date at checkout and in the purchase confirmation. We provide legally required renewal and material-change notices. A promotional discount applies only for the duration and on the terms stated in the offer; it is not a permanent price promise unless expressly stated.

2. Usage services and usage wallet

Applicable metered services are billed separately from the subscription. These may include SMS, MMS, business calling, phone numbers, email, email verification, AI, AI Voice, AI conversations, transcription, call recording and storage, number verification, premium workflow actions, domains, business messaging registration, carrier charges, and other metered third-party services where enabled. Customers see Circle Suite's customer-facing rate or pricing method for each applicable service before authorizing the charge.

Where a charge varies because of carrier, destination, AI model, registration type, consumption, or another legitimate variable, we disclose the applicable customer-facing rate or pricing method rather than a fixed amount. Business messaging registration, carrier, regulatory, and verification charges may be billed separately. Registration approval is not guaranteed.

Applicable usage may be deducted from the account's usage balance. Where automatic replenishment is enabled, the account's billing settings disclose, before authorization, that replenishment is on, the recharge amount, the balance threshold that triggers it, and the payment method that will be charged. When your usage balance falls below your configured threshold, your saved payment method will automatically be charged the recharge amount shown in your billing settings. We do not enroll customers in undisclosed automatic charges.

Properly incurred and authorized usage charges are generally non-refundable, except for verified billing errors, duplicate charges, Circle Suite error, legal requirements, or a discretionary remedy. They remain payable even if a provider reports them after cancellation. Complimentary or promotional credits are not cash. Treatment of any unused purchased balance at account closure follows the account's billing records and applicable law, and never exceeds the remaining refundable purchased balance.

3. Cancellation

Use the electronic cancellation method identified in the account's Billing settings. You do not have to make a telephone call or participate in a retention conversation. The system records when a request is received and provides an electronic confirmation identifying the subscription, receipt time, service end date, and whether a future renewal has been stopped.

Cancellation ordinarily leaves access through the paid term and prevents the next renewal. Canceling an annual subscription ordinarily ends renewal rather than shortening the prepaid twelve-month commitment. There is no separate thirty-day advance-cancellation requirement. Valid amounts already incurred remain due. An SMS STOP reply or email marketing unsubscribe does not cancel a paid subscription.

If the designated cancellation system is unavailable, contact support@thecirclesuite.com promptly with your account and a clear request to stop renewal. We will investigate the system problem and prevent or correct a renewal caused by our cancellation-system error. Reasonable identity verification protects the account; it must not be used to impose unnecessary cancellation obstacles.

Canceling does not necessarily close independent domains, integrations, payment accounts, or other external resources. Data deletion and phone-number release are separate. Export important data and arrange any number port before service ends. The cancellation screen provides the verified warnings and applicable resource-handling instructions.

Your phone numbers and related messaging registrations may be permanently released or deleted after cancellation. If you want to keep an eligible number, begin the transfer or port-out process promptly. Current platform rules provide a limited 14-day post-cancellation period for phone numbers and A2P registrations, subject to applicable carrier and provider requirements. Applicable phone-number charges may continue during this period.

Ordinary account data is currently retained for approximately 90 days after cancellation. Retention does not mean continued account access. Export important information before you cancel; not every data type can be exported. Connected third-party services may keep their own data, legal, security, accounting, and fraud records may be retained where permitted or required, backups are deleted on normal backup cycles, and permanent deletion may make recovery impossible.

4. Subscription refunds

Monthly and annual subscription payments are generally non-refundable once properly charged. Voluntary cancellation, nonuse, a forgotten renewal, a change of business needs, dissatisfaction with an otherwise functioning feature, or a mid-period downgrade does not automatically produce a prorated refund. Exceptions apply for legally required refunds, verified billing errors, inability to provide the purchased service, an applicable contractual remedy, or a discretionary remedy we approve.

This policy does not permit us to retain a duplicate or erroneous charge merely because the payment has settled. We will investigate unauthorized-transaction reports and distinguish a genuine lack of authorization from an authorized user's purchase or employee misuse. Responsibility for compromised accounts depends on the facts, applicable law, the Agreement, and the payment-provider process; a credential compromise is not automatically assigned to the Customer in every case.

Temporary outages, integration interruptions, carrier filtering, failed message delivery, imperfect AI output, customer misconfiguration, or a third-party failure do not automatically create refunds. We will consider whether the facts trigger a specific service commitment, inability-to-provide-service exception, legal duty, or appropriate discretionary remedy. No outage disclaimer overrides a non-waivable right.

5. Onboarding refunds

The $500 onboarding fee is 100% refundable if the Customer cancels before onboarding begins. Onboarding begins when the scheduled onboarding session actually begins or Circle Suite starts agreed customer-specific configuration work. Merely purchasing a subscription, scheduling a session, sending a welcome email, or allocating an unused appointment slot does not by itself establish that the agreed work began.

Once onboarding begins, the fee is generally non-refundable, subject to applicable law and appropriate remedies for Circle Suite's failure. A no-show, rescheduling, missing access credentials, partial implementation, or an abandoned project does not justify a blanket refusal without checking whether onboarding began and what work Circle Suite actually undertook. We will document agreed work and coordinate a reasonable next step. This policy creates no unannounced no-show fee or expiration deadline.

A third-party connection may require Customer access, approvals, or technical compatibility. Basic setup assistance does not guarantee approval by an independent provider. If Circle Suite cannot provide the purchased onboarding service, we will provide the applicable remedy rather than treating every third-party issue as an automatic forfeiture.

6. Changes, suspension, and service closure

Upgrade charges and their effective date are disclosed before authorization. Downgrades ordinarily apply at the next period without an automatic mid-period credit. Offer terms control promotional credits; a credit is not redeemable for cash unless those terms or the law require it. Unused usage balances are handled as described in the usage section.

Termination or suspension for Customer breach does not automatically create a refund of a properly earned payment, subject to law and the Agreement. If Circle Suite discontinues a prepaid purchased service or ends it without Customer fault and cannot supply the remaining purchased service, we will provide the applicable contractual or legally required remedy.

7. Requests and payment disputes

Send billing or refund requests to support@thecirclesuite.com with your business, account email, invoice or transaction reference, and explanation. Do not email complete card details or credentials. We may request proportionate verification and supporting information. We do not impose an arbitrary short deadline that defeats a legal or payment-network right.

Approved refunds are ordinarily submitted through the original payment method where supported. If that method is unavailable, we coordinate an appropriate alternative after verification. Payment-provider and bank processing times can vary; we do not promise a settlement date outside our control. Applicable tax adjustments are made with the refund. We do not automatically deduct payment-processing fees from a legally required or Circle Suite-error refund.

A chargeback does not cancel the subscription or replace a cancellation request. We may contest an unsupported chargeback using the actual authorization and service records. We do not penalize a good-faith dispute or require waiver of mandatory payment rights. Suspected refund abuse or fraud may trigger investigation and proportionate account restrictions.
